PRIVACY POLICY

1. WHO WE ARE
Vivid Vision Incorporated is a 501(c)(3) nonprofit organization based in Massachusetts, USA. We operate Vivid Vision Collective (the “Collective”), one of our programs, and this website (the “Site”). In this policy, “we,” “us,” and “our” refer to Vivid Vision Incorporated. This policy explains what personal information we collect through the Site, how we use and share it, and the choices you have. If you have any questions, contact us at vvc@vividvisioncollective.com.
2. INFORMATION WE COLLECT
a) Information you give us:
The Site has 1 application forms (the “Tap In” form). When you submit, we collect the information you choose to provide, which may include your name, email address, phone number, location, creative disciplines or skills, experience, portfolio links, and any message you write. Please share only what you are comfortable providing.
b) Information collected automatically:
- Form submissions. We have enabled a privacy setting on our forms so that your IP address, browser, and device details are not stored alongside your submission.
- Server logs. Our web hosting provider automatically records standard technical information, such as IP address, browser type, and the date and time of each request, in server logs. This occurs at the infrastructure level to keep the Site available and secure. We may review these logs when investigating a security or performance issue.
- Spam protection (Google reCAPTCHA). Our forms are protected by Google reCAPTCHA, which distinguishes human visitors from automated abuse. To do this, reCAPTCHA runs in your browser and collects information such as your device and browser characteristics, your IP address, and how you interact with the page, and transmits it to Google. reCAPTCHA also stores one or more cookies in your browser for this purpose. Google acts as our service provider in providing reCAPTCHA. You can learn about Google’s data practices in the Google Privacy Policy (https://policies.google.com/privacy).
- Web fonts (Google Fonts). The Site loads certain fonts from Google Fonts. When a page loads, your IP address is sent to Google so it can deliver those fonts.
Apart from Google reCAPTCHA, we do not use analytics tools, advertising tools, or tracking pixels.
3. HOW WE USE YOUR INFORMATION
We use the information we collect to:
- Respond to your inquiries and applications.
- Communicate with you.
- Coordinate our programs and events.
- Operate, secure, and improve the Site and our organization.
We do not use your personal information for third-party advertising.
4. HOW WE SHARE INFORMATION
We do not sell your personal information, and we do not share it with third parties for their own marketing or advertising. We share information only as follows:
a) Service providers. We rely on trusted providers to operate the Site, and they process information on our behalf only as needed to provide their services:
- DigitalOcean hosts the Site and its data.
- Brevo delivers the notification emails we receive when you submit a form.
- Google provides reCAPTCHA spam protection and Google Fonts, as described in Section 2.
b) Legal and safety. We may disclose information when required by law, or when we believe in good faith that it is necessary to protect our rights, safety, or property, or those of others.
5. COOKIES
The Site uses two kinds of cookies: the essential cookies WordPress needs to function, and one or more cookies set by Google reCAPTCHA to provide spam and abuse protection on our forms. We do not use analytics, advertising, or cross-site tracking cookies. You can control or delete cookies through your browser settings, but blocking essential or reCAPTCHA cookies may prevent parts of the Site, including our forms, from working properly.
6. DATA RETENTION
We keep form submissions only as long as needed for the purpose you provided them — for example, to review an application or respond to you — and then delete them, unless a longer period is required by law. Server logs are retained for a limited time under our hosting provider’s standard practices. You can ask us to delete your information at any time (see Section 7).
7. YOUR RIGHTS AND CHOICES
You may contact us at vvc@vividvisioncollective.com at any time to:
- Access the personal information we hold about you.
- Correct information that is inaccurate or incomplete.
- Delete your personal information.
- Opt out of further contact from us.
We may need to verify your identity before acting on a request, and we will respond within the time required by applicable law.
European Union and United Kingdom (GDPR). If the GDPR applies to you, you also have the right to restrict or object to certain processing, to receive your information in a portable format, to withdraw consent where we rely on it, and to lodge a complaint with your local data protection authority. We process the information you submit in order to respond to you and run our programs (on the basis of your request or consent), and we operate and secure the Site on the basis of our legitimate interests. Because we are based in the United States, information you provide is transferred to and processed there.
California (CCPA/CPRA). If California privacy law applies to you, you have the right to know what personal information we collect, use, and disclose, to request its deletion or correction, and not to be discriminated against for exercising your rights. We do not sell your personal information or share it for cross-context behavioral advertising.
8. CHILDREN’S PRIVACY
The Site is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has provided us information, contact us at vvc@vividvisioncollective.com and we will delete it.
9. THIRD-PARTY LINKS
The Site may link to other websites, such as artists’ portfolio or social media pages, that we do not own or control. We are not responsible for the privacy practices or content of those sites, and we encourage you to review their policies.
10. SECURITY
We take reasonable measures to protect the information we hold from loss, misuse, and unauthorized access, including relying on the security measures of our hosting and email providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. CHANGES TO THIS POLICY
We may update this policy from time to time. When we do, we will post the updated version here and revise the effective date above. If we make material changes, we will take reasonable steps to bring them to your attention.
12. GOVERNING LAW
This policy is governed by the laws of the Commonwealth of Massachusetts, USA, without regard to its conflict-of-law rules, except where the law of your place of residence requires otherwise.
